How do I create a new invoice?

Why can’t I see any estimate items?
The estimate items must be approved before they are available for invoicing.  Go to the estimate and approve the relevant items by clicking the status icon next to each item.


How do I invoice items directly from other sections in Briefcase?

How do I invoice a percentage of an item?
In the Invoice Window go to the relevant tab (eg. From Estimates) to view the items available for invoicing. Hold down the Option key and click the add icon next to the relevant item.  Enter a percentage to invoice (eg. 30%) in the dialog pop-up.

How do I specify trading terms for a company in my invoice?
In the Invoice Sale section, select an option from the drop down list in the Terms field. (eg. 30 days from invoice date).  The invoice due date will automatically adjust to suit the term you select.  The default option can be changed in the Settings window.


How do I add an invoice item that was not estimated?
To add a new invoice item simply click in the fields under the column headings in an empty row.  An invoice item that you have added manually will appear in red.


When invoicing why can’t I view all of the time entries for a job?
The From Time tab in the Invoices Window contains all the time/material entries available for invoicing.  Click in the filter range date fields on the right hand side, to specify a particular date range to see all the time/material entries that have been created for the job.


I have added/changed an item amount in the Sale field, why is the Gross Margin still showing up the same?
Click the refresh icon at the bottom right of the window to update the GM %.


What is the difference between the Cost, Sale, Sale Rate and Margin fields?
The Cost is the supplier cost, ie. The amount you purchased an item for.  The Cost Rate is the unit cost of an item or service you buy from a supplier eg. $1 per sheet The Sale Rate is the rate per unit that you charge your client, eg. 120 per hour for design work.  This is predefined in the Rates Window. How do I view my monthly, quarterly or yearly invoice totals?
Go to List View in the Invoices Window. Click in the filter menu next to the Find button and choose an option from the drop down list (eg. This month). Press the Print button and select the Invoices List report from the pull down menu.


How do I view invoices in a particular date range?
Go to List View in the Invoices Window.  Click in the filter menu next to the Find button and select Date Range from the drop down list. In the pop up dialog specify the date range and click Ok. Press the Print button and select the Invoices List report from the pull down menu.
